This policy explains what information Kasetra handles, why, and what you can do about it. It covers the Kasetra website (kasetra.com), the Kasetra web app (app.kasetra.com) and the Kasetra app for iPhone and Android. Kasetra is provided by Kasetra, LLC, a JRM Medical Consulting company ("Kasetra", "we", "us").
Who uses Kasetra
Kasetra is business software for companies that distribute medical devices. It is not sold to the public. Every Kasetra login is created by a licensed company for its own staff, distributors and sales representatives. That company (our customer) decides what is entered into Kasetra and who can see it. For the business records it keeps in Kasetra, the customer company is in charge of that information and we handle it on its behalf.
What we collect
- Your login details: your name, work email address, phone number if your company adds it, your role and which company you belong to. Your access code is stored only in scrambled (hashed) form, so we can never read it.
- Business records your company enters: surgical cases, facilities, surgeon names, products, lot numbers and expiry dates, stock, orders, shipments, invoices, payments, commissions, sales goals, field activity and travel expenses.
- Files you upload: such as expense receipts, library documents and signed agreements.
- Patient information, kept to the minimum: a case can hold the medical record number a facility needs to match an invoice. Kasetra does not ask for patient names, dates of birth, diagnoses or clinical notes, and should not be used to store them.
- Sign-in and security records: when you sign in, the time, and the basic technical details (such as IP address and browser or device type) needed to keep accounts secure and to investigate problems.
The camera
The Kasetra app asks to use your camera only so you can scan the barcode on a product label. The barcode is read on your phone, and only the result (product number, lot and expiry date) is filled into the form. Camera pictures are not saved or sent to us. You can turn camera access off at any time in your phone's settings and type the lot instead.
What we use it for
- To run Kasetra for your company: logging cases, tracking stock, sending orders, invoices and notices, and showing reports.
- To sign you in securely, including emailing the 6-digit sign-in code.
- To answer support requests, which we do only on a recorded support visit that your company's admin can see.
- To keep Kasetra safe, fix problems and meet legal obligations.
We do not sell your information. We do not show ads. We do not use your information for advertising, and the Kasetra app contains no advertising or tracking tools.
Who we share it with
Only the companies that run Kasetra's infrastructure for us, under contracts that limit them to providing that service:
- Supabase, which hosts Kasetra's database, sign-in and file storage.
- Vercel, which hosts the Kasetra website and app.
- Resend, which delivers Kasetra's emails, such as sign-in codes, orders and invoices.
Kasetra sends emails your company asks it to send, for example a sales order to a manufacturer or an invoice to a facility. Apart from that, we share information only if the law requires it, to protect people's safety, or as part of a sale or reorganization of the business, in which case this policy continues to apply.
How long we keep it
We keep your company's records for as long as it holds a Kasetra license, and for up to 90 days afterwards so it can export them, unless the law requires us to keep them longer. Your company can export its data to Excel at any time.
Deleting your account or your data
Because logins belong to your company, the quickest way to close your login is to ask your company's Kasetra admin, who can switch it off at any time.
You can also ask us directly: email info@kasetra.com from the email address you sign in with, with the subject "Delete my Kasetra account". We will confirm with your company and close your login within 30 days. Your name and contact details are removed. Business records your company needs to keep, such as invoices and lot traceability, stay with your company's records, as the law and its contracts require.
Security
Every sign-in needs your access code and a 6-digit code sent to your email, and no device is remembered. Information travels encrypted, each company's records are walled off from every other company, and every support visit is recorded.
Children
Kasetra is a business tool for adults at work. It is not meant for children and we do not knowingly collect information from anyone under 18.
Your choices and rights
Depending on where you live, you may have the right to see, correct, export or delete information about you. Ask your company's Kasetra admin, or email info@kasetra.com, and we will help.
Changes
If we change this policy, we will update the date at the top of this page, and tell your company's admins about any important change.
